Program and Communications Coordinator Job Description
Job Title: Program and Communications Coordinator
Department: Administration
Status: Full-Time
Reports To: Executive Director
Position Summary:
Primary responsibilities include, but are not limited to: Organize and implement youth programs, manage website, design, write and copy-edit publications and communications tools, manage outreach projects, assist with event planning and development, and carry out daily administrative/operational tasks.
Program Responsibilities
o Coordinate all activities for the Give Respect-Get Respect Youth Diversity Program.
o Send out meeting reminder emails to all program participants
o Facilitate survey process (Design and make copies of surveys for students, teachers, and Edward Jones Associates—organize, analyze and input survey data results.
o Manage spreadsheets for student and school paperwork related to parent permission slips, school involvement forms, project description forms, contact information, etc.
o Send out press releases to media about program and major events.
o Organize and assist with all program details on program days.
o Attend sporting events, filming sessions, and any other events related to the program
o Recruit new schools for the program
Communications Responsibilities Website
o Design and edit web-pages and content.
o Maintain website calendar by continuously adding new events with accurate event information through gmail calendar.
o Manage website analytics.
o Work with Executive Director to produce monthly newsletter by co-writing stories and maintaining email distribution list.
o Design and write press releases, media advisories, PSAs.
o Compose outreach letters including ‘thank you’, sponsorship, etc.
General Outreach
o Handle media inquiries.
o Handle incoming requests for sports posters, disability kits, religious calendars, media packets, etc.
o Communicate with volunteers about scheduling, projects, recruitment, etc.
o Communicate with other organizations interested in collaborating.
o Respond to inquiries regarding DAP’s initiatives, etc.
o Promote DAP at events and attend non-profit networking events.
o Manage social media.
o Required to attend and work all DAP events, fundraisers, etc.
o Assist with all event needs for Annual Diversity Dinner.
o Assist with logistics for fundraisers during planning and implementation.
o Assist with planning and implementing community forums.
o Manage media analysis and records.
o Perform continuous research for religious calendars and other diversity needs.
o Prepare for board and committee meetings by developing board packets, sending out meeting emails, documenting attendance, and recording minutes at each meeting. Attendance at Board Meetings is required.
o Stuff envelopes, make copies, and perform necessary tasks.
o Driving required.
o Perform other job-related activities as assigned by the Executive Director.
Skills Required: Must have flexible schedule. Proficient with Microsoft Word, Excel, Outlook, and PowerPoint. Ability to self-motivate and meet deadlines with attention to detail. Strong organizing and planning skills. Familiarity with media or willingness to learn about media communications Fast learner with the ability to multi-task. Comprehensive understanding of diversity issues related to race, sexual orientation, disability and religion.
Desired Skills: Familiarity with Adobe software including: InDesign, Illustrator, Photoshop, Dreamweaver.
AP writing style. HTML coding. 3 years prior work experience in non-profit, corporate, or academic institution.
Hours and Pay: 40 hours per week. Salary is non-negotiable at $24,000 – $26,000 annually. Benefits included. Tuition-Free Masters Degree available through Webster University as an added benefit.
